1. Purpose of This Policy
This policy outlines the expectations and procedures for cancelling or rescheduling appointments at Osteopathy Central Otago.
It exists to ensure fairness, maintain clinic availability, and support the smooth running of our service.
2. Appointment Changes & Cancellations
We understand that plans can change. If you need to cancel or reschedule your appointment, please provide at least 24 hours’ notice.
You can cancel or reschedule by:
Using your online booking link (if applicable)
Emailing us
Calling or texting the clinic
3. Late Cancellations
Cancellations made less than 24 hours before your scheduled appointment may incur a late cancellation fee, at the clinic’s discretion.
This fee helps cover the reserved time that cannot be filled at short notice.
4. Missed Appointments (No shows)
If you do not attend your appointment and do not contact us beforehand, a no-show fee may apply.
Repeated missed appointments may result in limited future booking options.
Providing notice allows us to offer your appointment time to another client who may be waiting for care.
5. ACC Appointments
For ACC clients:
A missed appointment or late cancellation may still incur a cancellation fee, as ACC does not cover unattended sessions.
Your ACC claim status remains unaffected by cancellation fees.
6. Sickness & Emergencies
If you are unwell or experiencing symptoms such as fever, vomiting, or acute illness, please contact us as soon as possible to reschedule.
In cases of emergency or extraordinary circumstances, cancellation fees may be waived at our discretion.
7. Arriving Late
If you arrive late, your appointment may be shortened to ensure the next client can be seen on time. Please do give prior notice, so the clinic will try and allocate for you.
The full appointment fee still applies.
